ClaimClosed
Privacy Policy
What we collect on claimclosed.com, why we collect it and what you can do about it.
“ClaimClosed”, “we” and “us” mean the business that runs claimclosed.com and the ClaimClosed membership. This policy covers claimclosed.com. The ClaimClosed community runs on Skool, which has its own privacy policy.
1. What we collect
- Closability Score quiz. Your answers about a claim (the property address, the carrier, where the claim stands, the storm and the evidence you have), your score, and the email address you enter to see it. The answers are saved when you finish the questions, before the email step.
- An unfinished score. We save your email as you type it on the last step of the quiz, with the property address and the carrier. If you leave before you finish, we send you one reminder. That is the only email it triggers.
- Free review. If you ask for a free review of a claim, we save that request with your email, the property address, the carrier and the score.
- Hail Trail. When a member asks for a Hail Trail, we save the member email and the ZIP code.
- Free Skool group page. When you ask for the way into our free group at claimclosed.com/skool, we save your first name and your email, and we email you the way in. Your browser remembers that you asked, so the way in shows again when you come back.
- Referral partners. When you sign up as a referral partner, we save your name, your email, a cell number if you give one and your referral code. When a roofer reaches the site through a partner’s link, we save which partner sent them.
- Member portal. You join and log in with a code we send to your email. When you join, we save your email and the plan you picked. At your first login we also save your company name, your name and your cell number. When a member hands us a claim, we save what they enter and upload for it: the property address, the homeowner’s name, the carrier, the claim number, the dates, the score, their notes, and the photos and documents. We also save where the claim stands as we work it. When a member fills in the company setup, we save what they enter and upload there: the company’s legal name, address and phone, the people who own it and sign for it, the states and license numbers, how the company estimates, what our estimators may say in its name, the documents they add, and the name and day of the authorization they sign. We use it so our estimators can work that member’s claims in the company’s name. We do not ask for passwords, tax numbers or bank details there.
- Contact form. Your name, your email, a phone number if you choose to give one, your message and your choices about text messages.
- Saved in your browser. The site saves your quiz answers and email on your own device so you can pick up where you left off. If you came in through a partner’s link, the code from that link is saved too. The portal demo at claimclosed.com/demo runs in your browser with sample data, and nothing typed into the demo is sent to us. Clearing your browser data removes all of it.
- Server logs. Like every website, our hosting provider records the IP address, browser type, page requested and time of each visit.
The quiz asks for the property address so the score is tied to the right claim. It does not ask for the homeowner’s name or policy number. Please do not enter them.
The member portal is different. It asks for the homeowner’s name and the claim number, because we work that claim for the member. Members must have the homeowner’s permission before they hand us a claim.
2. How we use it
- To show you your score and your results.
- To know which property a score belongs to.
- To look up storm history and property records for that address.
- To study storm and claim patterns across the claims that get scored.
- To work the claims members hand us and to show members where each claim stands.
- To email members their login codes, a receipt for each claim, a note when a claim moves or we need something, and a weekly recap of their claims.
- To show a referral partner the roofers they sent us and the totals behind what they are paid.
- To email you about your score and about ClaimClosed training, membership and claim help.
- To answer your questions.
- To send text messages, only if you opted in.
- To keep the site working and secure.
- To meet our legal duties.
3. Text messages
We only text people who gave us a mobile number and agreed to get texts. You can stop at any time by replying STOP. Details are in our SMS terms.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt in data and consent will not be shared with any third parties, except the providers that deliver the messages for us.
4. Who we share it with
- Service providers. Companies that host the site, run our customer records and deliver our email and text messages. They may use the information only to do that work for us.
- The insurance carrier on a claim. When a member hands us a claim to work, we share that claim’s information with the carrier and its adjusters as needed to work it.
- Referral partners. A partner can see the company name of a roofer they sent us, how many claims that roofer handed in, how many closed and the approved total. A partner never sees a homeowner, an address, a carrier or a claim number.
- Skool. If you join the ClaimClosed community, Skool collects your account and payment details under its own terms and privacy policy.
- Legal reasons. When the law requires it, or to protect our rights, our members or the public.
- A sale of the business. If ClaimClosed is sold or merged, records move with it under this policy.
We do not sell personal information. We do not share it for cross context behavioral advertising.
5. Cookies and tracking
Our pages load a pixel from Whop, the company that handles our payments. It tells Whop that a page was opened and when a step was finished, like joining or sending in a claim. It sets a cookie, saves an ID in your browser and reads details about your browser and device, like screen size, language and time zone, to tell one visitor from another. Whop also receives your IP address and the address of the page you opened. We have turned off the part of the pixel that reads what you type in a form. We do not pass your name, email, phone, address or anything about a claim to the pixel.
Our pages also load fonts from Google Fonts, so Google receives your IP address when a page loads. If we add tools from Meta or Google to measure our ads, we will update this page first.
6. Email
Every marketing email from us has an unsubscribe link. Use it and the emails stop.
7. How long we keep it
We keep information for as long as we need it for the reasons above, then delete it. You can ask us to delete yours at any time.
8. Your choices
- Ask for a copy of the information we hold about you.
- Ask us to correct it or delete it.
- Our emails are about your account and your claims. To stop them, reply to any email and ask.
- Stop text messages by replying STOP.
Some states, including California, give residents added privacy rights. We honor those requests and we will not treat you differently for making one. Send a request through the contact page.
9. Security
The site runs over an encrypted connection, and score records, portal records and uploaded photos and documents are stored outside the public part of our web server. A member only sees their own claims. No system is perfectly secure, so we cannot promise that nothing will ever go wrong.
10. Children
ClaimClosed is for contractors. It is not meant for anyone under 18, and we do not knowingly collect information from children.
11. Changes
If we change this policy we will post the new version here and change the date at the top.
